Supervisory Role with Varied Accounting and Finance Duties

About the Position: Philippi-Hagenbuch (PHIL) is looking for an Accountant to manage accounts receivable, accounts payable, job costing, timekeeping, payroll, and tax payments. This position also works to determine and prepare valuable financial information to assist in decision making and will continually develop the Accounting Department. This position spends a significant amount of time assisting associates in other departments with items such as expense accounts for traveling, goal calculations, managing company credit cards, and providing backup for other positions.

Experience Required:

Candidates must have:

  • A 4-year degree in Accounting or similar with 2-years of experience in a similar role
  • Or, a 2-year degree in Accounting or similar with 4-years of experience in a similar role
  • Proficiency in A/P, A/R, and general accounting principles
  • Proficiency in payroll & wage and hour law
  • Proficiency in Microsoft Excel, Word, Outlook, and Access


Experience Preferred (Not Required):

Preference will be given to candidates with the following:

  • Experience in manufacturing custom product
  • Experience in heavy equipment
  • Experience with job cost accounting
  • Experience using E2 and/or BusinessWorks


  • Manages Accounts Receivable by reviewing order confirmations, comparing to invoices, posting invoices and receipts, preparing and processing bank deposits, and reporting on aging invoices
  • Manages Accounts Payable by reviewing purchase orders, comparing to invoices, posting invoices, routing for approval, processing vendor payment, and managing other financial obligations such insurance and rent payments
  • Creates a Job Costing Report for each custom order once shipped by using current labor and steel rates and maintaining databases
  • Reviews bank account balances regularly, consults with senior management on financial outlook, cash flow planning, goal setting, prepares information for an annual review of financial statements, and assists in the creation and maintenance of departmental budgets
  • Completes weekly payroll (biweekly payrolls for two companies on rotation) by reporting new hires, running timekeeping summaries (E2), comparing time-off requests, time adjustments and call-in reports, managing PTO and leave, running payroll reports in Microsoft Access and accounting software (BusinessWorks), running automatic deposits and payroll checks, calculating monthly sales commissions, depositing contributions and matches into the 401(k) accounts, coordinating deductions for benefits, loans, and court order payments
  • Prepares weekly state and federal payroll tax, quarterly FUTA, SUTA, Federal 941 and State 941 tax filings, prepares and distributes W-2s and 1099 Reports, and submits related government reports
  • Processes 401(k) distributions and loan repayments, and assists the HR Manager in other benefit administration, compensation surveys, and the quarterly MSHA #7000-2 timekeeping report
  • Prepares and processes annual multistate sales tax reports, Canadian GST and Canadian Income Tax Reporting, and ongoing Sales and Use Tax Certificates for vendors of tax-exempt items
  • Manages expense account reconciliation of traveling associates, audits expense reports, manages corporate credit card program and petty cash, and obtains certificates of insurance for customers
  • Coordinates a physical biannual inventory of the Production Department
  • Attends Staff Meetings as the Accounting department head, oversees an Accounting Assistant, conducts interdepartmental audits to ensure information is accurate and complete, maintains a document retention plan of all hardcopy and electronic accounting documents, provides complete backup to the Accounting Assistant in their absence
  • Remains willing to cross-train and provide limited backup to the HR Manager, Sales & Marketing Secretary, Receptionist, and Purchasing in their absences for vital/urgent matters

Pay Structure of Position:

  • Exempt annual salary
